The South African requirements it has to meet
A tax invoice in South Africa is a legal document, not a formatting choice. Section 20 of the Value-Added Tax Act prescribes what it must contain, and any quote and invoice software you use here has to produce those fields correctly:
- The words Tax Invoice
- Your business name, address and VAT registration number
- The client's name and address, for supplies above R5,000 including VAT
- A unique serial number and the date of issue
- An accurate description of the goods or services supplied
- The value, the VAT charged and the total, shown so the VAT is determinable
A generic international tool will produce a tidy invoice that is missing one of these. That is not a cosmetic problem: an invoice missing a required field is not a valid tax invoice, and your client's input tax claim can be disallowed because of it.
When a spreadsheet stops coping
There is no invoice count that triggers the switch. There are signs:
- You have duplicated an invoice number, or you are not certain you have not
- You cannot answer what is outstanding without building a second spreadsheet
- Client details are retyped on every document
- You have more than one version of the template in circulation
- A client asked for a statement and you built it by hand
