Excel vs invoicing software is not a question until it suddenly is. A spreadsheet works, and for a business sending two or three invoices a month it is a perfectly reasonable answer. It stops working at a predictable point, and the signs are specific rather than vague.

  1. You have duplicated an invoice number. Copy-and-paste numbering fails eventually, and a duplicate number on a tax invoice is a real problem, not a cosmetic one.
  2. You cannot answer ‘what is outstanding?’ quickly. If it takes ten minutes and a second spreadsheet, you are managing debtors by memory.
  3. Your client details are retyped each time. Every retype is a chance to get a VAT number wrong.
  4. You have more than one version of the template. Different fonts, different totals logic, and no way to know which is current.

Where Excel is still better

Modelling. Working out what to charge, testing margins, comparing scenarios: a spreadsheet beats any invoicing tool at that, and always will. The mistake is using the same tool for calculating a price and for issuing the legal document that requests payment.

Making the move

Do not migrate history. Close out the current period in the spreadsheet, start the new one in the software, and keep the old file for your records. Carry across your client list and your price list only. Trying to import two years of past invoices is how a migration stalls.

Yes, if it contains everything the VAT Act requires. The format never determines validity, the contents do.
