The second is the most common and the one that catches people. A cap set at a level you will not reach in month one is exactly the level you reach in month eight, by which time your entire billing history sits inside it.

What to check before you commit

  1. What is the cap, in numbers? Invoices per month, clients, users. If the answer is not on the pricing page in plain figures, that is information too.
  2. What happens when you hit it? Blocked, or upgraded automatically?
  3. Can you export? Clients, price list and invoice history. Ask before you commit, not after.
  4. Is support included? Some free tiers exclude it entirely.
  5. Does it carry ads or branding on the documents your clients receive?

What free quote and invoice software must do in South Africa

Free is worthless if the documents are not valid here. Section 20 of the VAT Act sets out what a tax invoice must contain, and a tool built for another market will often miss something:

  • The words Tax Invoice on the document
  • Your VAT number and business details
  • The client's details, for supplies above R5,000 including VAT
  • A unique sequential number and issue date
  • Rands and 15% VAT calculated correctly, per line and in total
  • An accurate description of what was supplied

Two more that are not legal requirements but matter commercially here: statements, which South African finance departments request constantly, and the ability to send documents by WhatsApp, which is normal practice locally and unusual in products designed elsewhere.

Free quote and invoice software still has to do the quoting

Many free tools invoice well and quote badly, which is the wrong way round for most South African service businesses. Work here is usually quoted before it is done. If the tool treats quotations as an afterthought you will end up keeping quotes somewhere else, and the two will drift apart.

What to look for: quotations with their own numbering sequence, a validity date on the document, and one-click conversion of an accepted quote into an invoice without retyping.
