Photography Invoice: Fees and Usage

A photography invoice goes wrong when the document prices a day and the client believes they bought everything that came out of it. The fix is separating what you did from what they may do with it.

A photography invoice separates fee from licence

Two distinct things:

  • The creative fee. Your time on the shoot, the crew, the equipment, the editing.
  • The usage licence. Where the client may publish the work, for how long, and in what territory.

A social media licence and a national billboard campaign involve the same shooting day and very different value. If your invoice shows one line reading photography, you have sold the second at the price of the first.

Deliverables must be countable

Edited images is not a deliverable. 40 edited high-resolution images, delivered as a private gallery within 10 working days is.

State the number, the format, the resolution and the turnaround. Additional selects beyond the agreed count are an additional line, quoted at a per-image rate stated up front.

The deposit

A booking is not a booking until money has moved. You are selling a date, and a date you turned other work away for is genuinely lost if the client cancels.

  1. Deposit on booking, commonly a third to a half, stated as non-refundable within a defined window
  2. Balance on delivery, or on completion of the shoot for longer post-production
  3. Cancellation terms tied to notice: full refund beyond a threshold, sliding scale inside it

Exclusions

Location fees and permits, talent and model fees, wardrobe and props, music licensing for video, additional edit rounds beyond the agreed number, and raw or unedited files. That last one comes up constantly and is worth a line.

Common questions

Should I hand over raw files?

Many photographers do not, and say so on the quote. Whichever position you take, state it before the shoot rather than after.

How many revision rounds?

Name a number, commonly one or two, and price additional rounds.

Is the deposit refundable?

That is your policy, and it belongs in your terms. Cancellations are the main commercial risk in this work.

Save your fee structure and licence wording once, and reuse it on every booking.
